This notice explains the information the ServeWell Travel website collects, why it is used, how it is handled, and the choices available to visitors.

Who this notice covers

This notice applies to the ServeWell Travel public website and its first-contact inquiry paths. Travel planning and fulfillment for ServeWell inquiries are provided through Best In Class Travels. If an inquiry proceeds into actual planning or booking, additional information may be handled through Best In Class Travels, Nexion, travel suppliers, insurers, or other authorized service providers under the requirements applicable to that transaction.

Information we collect on this website

Depending on the inquiry type, the website may collect ordinary contact and routing information such as name, email address, optional phone number, preferred contact method, residence country and state, organization or group name, general travel purpose, approximate timing, approximate group size, destination or region if known, a brief message, the originating ServeWell community, and a non-sensitive referral/source code.

The website also receives ordinary technical information needed to deliver and secure the service, such as request, browser, device, network, and security-log information handled by our hosting infrastructure.

Information we do not want through the public website

Do not send payment-card data, passport data, government IDs, Social Security numbers, medical records, credentials, detailed traveler documents, participant rosters, rooming lists, or other sensitive traveler records through the public inquiry form, ordinary email, or voicemail.

How we use information

We use website information to route and respond to inquiries, determine the appropriate servicing path based on location and trip needs, understand the requested travel or partnership conversation, preserve the active ServeWell community/referral context, protect the site from abuse, troubleshoot service problems, maintain appropriate business records, and comply with applicable obligations.

Referral context and session storage

If you arrive through a ServeWell community or referral link, the website may use session-scoped browser storage to preserve that non-sensitive context while you move through the current browsing and inquiry session. The referral code must not contain personal traveler information or confidential partner data. The current website does not use a persistent referral cookie or create a cross-session behavioral profile.

Advertising, analytics, and tracking

The current website does not use third-party advertising, retargeting, session-replay, or behavioral-analytics services. Because cross-site advertising tracking is not part of the current website configuration, we do not currently change site behavior in response to browser “Do Not Track” signals. Infrastructure providers may still receive technical information needed to deliver, secure, and operate the website.

How information may be disclosed

Website information may be disclosed to service providers that host, secure, transmit, or support the website and inquiry process; to Best In Class Travels personnel who need it to respond; to travel suppliers or other providers when you later ask us to proceed with planning or booking and the disclosure is necessary; or when disclosure is required by law, legal process, safety, fraud-prevention, or security needs.

If an independent travel professional or agency is needed to service your inquiry, we will identify the proposed provider, explain the minimum information reasonably necessary for the servicing conversation, and ask for your permission before sending the inquiry. A referral source does not receive private traveler-planning information merely because a referral code was used.

Retention

The website does not use an application database to store inquiry payloads. Inquiry messages and related business records may be retained in authorized business communication or recordkeeping systems for as long as reasonably needed for follow-up, service, legal, compliance, security, or recordkeeping purposes. Operational and security logs are retained according to the settings and practices of the applicable service providers.

Security

We use reasonable administrative and technical safeguards appropriate to the information handled by the website, including encrypted web transport, restricted runtime configuration, validation, rate limiting, and data minimization. No internet transmission or storage method can be guaranteed to be completely secure.

Your choices and requests

You may contact us to ask about personal information submitted through this website, request a correction, or request deletion where applicable. Children and minors

This website is not directed to children under 13 and is not designed to collect personal information directly from children. If you are an adult asking about travel involving minors or students, contact us without submitting sensitive information about the minor through the public form.
